BinLeads Privacy Notice

This notice explains how information is handled when businesses use BinLeads to manage customer enquiries and orders.

1. Who operates BinLeads

BinLeads is operated by PostUp Biz. Client businesses use the service to manage customer enquiries and orders. Those businesses generally decide why their customers’ information is processed, while PostUp Biz operates, secures, supports, and administers the BinLeads service.

The precise data-controller or data-processor role of PostUp Biz and a client business depends on the activity involved. For example, a client normally controls how it handles its customer orders, while PostUp Biz may make its own decisions about account security, billing, support, and service administration.

2. Information processed

Depending on how a workspace is configured and used, BinLeads may process:

  • client business and workspace information;
  • client owner and supervisor details;
  • client-user email addresses, invitations, authentication, login, and security records;
  • customer names, WhatsApp numbers, messages, and conversation history;
  • order references, products, quantities, sizes, prices, and order states;
  • payment-method information, payment references, and payment-proof images;
  • delivery names, phone numbers, locations, landmarks, and preferred dates and times;
  • billing and subscription records;
  • operational events, audit records, and message-delivery records; and
  • support correspondence.

BinLeads does not require MoMo PINs, card PINs, account passwords, one-time authentication codes, or full payment credentials. Never submit those details through messages, payment proof, forms, or support email.

3. Why information is processed

Information is processed as needed to:

  • create, configure, and administer business workspaces;
  • receive customer enquiries and orders and send automated responses;
  • provide payment instructions and collect payment proof and delivery details;
  • send supervisor notifications and provide order dashboards and history;
  • protect accounts, prevent abuse, and maintain role-based access;
  • diagnose failed messages, workflows, and service issues;
  • provide support and administer billing; and
  • meet lawful obligations and protect legal rights.

4. Manual payment verification

BinLeads can receive and display a customer’s payment-proof image for review. It does not treat the image itself as independent confirmation that money reached the client. Proof may be inaccurate, altered, duplicated, incomplete, or unrelated to the order. The client business remains responsible for checking its own payment account before fulfilment.

5. Service providers

BinLeads uses service providers to operate, secure, and support the service. Confirmed provider categories include:

  • WhatsApp and Meta messaging infrastructure;
  • Twilio messaging infrastructure;
  • Supabase database and authentication infrastructure;
  • Vercel hosting infrastructure;
  • transactional email infrastructure used for sign-in and invitations;
  • OpenAI response-generation infrastructure, where automated reply generation is enabled; and
  • other vendors reasonably required to operate, communicate, support, and secure the service.

When AI-assisted response generation is enabled, a selected customer message and related business or order context may be sent to the configured AI service to produce a reply. BinLeads does not have a feature that trains a general-purpose AI model on client or customer information.

6. International processing

Some service providers may process or store information outside Ghana. The location and protections may vary by provider and service configuration. BinLeads does not represent that all information remains in Ghana.

7. How information is shared

Information may be shared only as reasonably necessary with:

  • the relevant client business and its authorised staff;
  • service providers needed to operate and secure BinLeads;
  • legal or regulatory authorities where disclosure is required; and
  • parties needed to protect users, customers, the service, or legal rights.

PostUp Biz does not sell personal information or use it for third-party advertising. Personal information is not used to train third-party general-purpose AI models without specific disclosure and authorisation. Processing by an AI service to generate an operational reply, where enabled, is distinct from training a model.

8. Cookies and tracking

BinLeads uses cookies that are necessary for secure sign-in, authenticated sessions, and service administration. The public information pages do not currently use non-essential analytics or advertising cookies, and BinLeads does not currently include third-party advertising tracking. If these practices materially change, this notice will be updated.

9. Retention

Information is retained while reasonably necessary to provide and administer BinLeads. Some records may be kept longer for billing, account security, disputes, fraud prevention, backups, and legal obligations. Client businesses may request export or deletion, subject to lawful and operational retention requirements.

Removal from active systems may not immediately remove limited backup copies. Those copies may remain until they are overwritten or no longer required under the applicable backup process.

10. Security

Current safeguards include authenticated workspace access, business membership isolation, database row-level security, protected payment-proof access, audit logging, role-based access, secure hosting and communications, and operational monitoring.

These measures reduce risk but cannot remove it entirely. No online system can guarantee complete security. Users should protect sign-in links and devices and report suspected misuse promptly.

11. Individual rights and requests

Depending on the circumstances and applicable law, an individual may request access, correction, information about processing, objection, restriction, cessation of processing, deletion, withdrawal of consent where consent is relied upon, or complaint escalation.

Requests involving customer-order information may need to be handled with the relevant client business because that business normally decides how its customer records are used. PostUp Biz may ask for information needed to verify identity and route the request safely.

12. Children

BinLeads is designed for business order and customer-response operations. It is not intentionally designed to collect information directly from children.

14. Changes to this notice

Material changes to this notice will be identified with a new version and a new effective date. The current details appear at the top of this page.
